Suncare Privacy Statement

At Suncare, your trust matters. We know your personal information is private, and we’re committed to treating it with care, respect, and transparency. This policy explains what information we collect, why we collect it, and how we keep it safe.

The kinds of information we collect

The type of personal information we collect depends on your relationship with us, whether you’re a customer, donor, volunteer, Job applicants, member, contractors, business partner, or simply visiting our website.

Customers

If you’re a Suncare customer, we may collect details so we can provide you with the right care and support, such as:

  • Your name and contact details
  • Date of birth, gender, and (if needed) financial details
  • Health information, including medical history or aged care reference number
  • Details about your family, supports, and interests
  • Payment details (e.g. bank or card information)

You can choose to stay anonymous or use a pseudonym when giving us your information, unless:

  • The law requires us to confirm your identity, or
  • It’s not practical for us to deliver the services you’ve asked for without knowing who you are.

If that’s the case, we may not be able to provide services unless you identify yourself.

Donors

If you support Suncare with a donation, we may collect:

  • Your name and contact details
  • Date of birth, gender, and (if relevant) income information
  • Your giving history and areas of interest
  • Payment details (bank or card information)

You can donate anonymously, but if you’d like a receipt or if transparency reporting requires it, we may need your details.

Business partners

If you partner with us, we may collect:

  • Your name and contact details
  • The details of your business or organisation
  • The type of goods or services you provide
  • Your areas of interest

Job applicants, volunteers, and contractors

If you work with us (or apply to), we may collect:

  • Your name and contact details
  • Personal details like date/place of birth, residency or visa information, gender, and emergency contacts
  • Skills, qualifications, licences, employment history, and references
  • Bank account details for payments

We may also carry out police or health checks where required. Recruitment information is managed under our Recruitment Policy.

Please note: Employment records are generally exempt from the Privacy Act 1988 (Cth).

Members

If you’re a member of Suncare, we may collect:

  • Your name and contact details
  • Date of birth and areas of interest
  • Payment details (if relevant to membership fees)

Website visitors

When you visit our website, we collect anonymous statistics (like page visits and time spent) to help improve our services.

We also use cookies, which store information about your visit (not your personal identity). You can manage or remove cookies via your browser settings.

Our site may link to external websites that have their own privacy policies. We encourage you to check these if you visit those sites.

 

Why and how we collect your information

Most of the information we collect comes directly from you, through forms, phone calls, emails, or face-to-face conversations. Sometimes, with your consent, we may receive information from:

  • Other care providers
  • Government departments and agencies
  • Medical and allied health professionals

We only collect sensitive information (like health details) when it’s necessary to provide you with the right services and with your consent.

 

How we use and share your information

We only use your personal information for the purposes it was collected. For example:

  • Customers: To arrange and deliver the services you’ve requested. Sometimes this means sharing information with health professionals, government bodies, or service partners.
  • Donors and members: To process donations or memberships, issue receipts, and keep you updated on our work.
  • Job applicants, volunteers, and contractors: To support recruitment, HR, payroll, and compliance requirements.
  • Business partners: To manage services and partnerships effectively.

In all cases, we may share information if:

  • You give your consent
  • It’s required by law
  • It’s needed to prevent serious harm or threats to safety
  • It relates to legal proceedings or enforcement activities

We will always limit what is shared to what is strictly necessary.

 

Keeping your information safe

  • Access restrictions (only authorised Job applicants can see your information)

When information is no longer needed, we securely destroy or delete it in line with our records management procedures.

We may ask for proof of identity for security reasons. Most requests will be answered within 14 days, or within 30 days for larger or more complex requests.

In some circumstances, access may not be possible (for example, if it would affect someone else’s privacy or involve legal proceedings). If this happens, we’ll explain why.

A small fee may be charged for large or off-site requests.

 

Making a privacy complaint

If you believe your privacy has been breached, please contact our Privacy Officer using the details above.

We’ll take your complaint seriously, investigate it, and let you know the outcome. If you’re not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

 

Overseas disclosure

If there is ever a need to share information overseas, we’ll let you know first and ask for your consent. We’ll also make sure your information is handled under the same (or stronger) protections as Australian law.

 

Third-party software providers

Sometimes we use trusted third-party systems to help us deliver services. We take all reasonable steps to ensure these providers meet our privacy and security standards.
